Electronic Component Shortage Sourcing Checklist for Production Buyers

Last updated: September 29, 2026

When an electronic component threatens production, first confirm the exact orderable MPN, required quantity, acceptable packaging, delivery destination and latest usable receipt date. Then compare five distinct paths: authorized-channel supply, partial delivery, an engineering-approved alternate, a last-time or lifetime buy, and controlled independent-channel sourcing when company policy permits it. Keep each path on a separate quote line so price, lead time, traceability and approval requirements remain visible.

Upload the affected BOM or shortage lines for review, or use the BOM RFQ checklist and Excel template to prepare the request first.

Shortage sourcing checklist

Check What to confirm Evidence to retain
Exact identity Manufacturer, full MPN including suffix, package, temperature or qualification grade Approved BOM line, drawing or manufacturer product page
Demand Quantity per assembly, build quantity, total shortage and usable receipt date Production plan and open-order position
Lifecycle Active, NRND, discontinued, last-time-buy or uncertain Manufacturer PCN/PDN/EOL notice with event date
Authorized availability Current stock, factory lead time, MOQ, pack quantity and allocation status Dated manufacturer or authorized-distributor quotation
Alternate policy Whether alternates are prohibited, pre-approved or subject to engineering review Approved vendor list, deviation or change-control record
Traceability Required certificates, source path, lot/date code and packaging evidence Quotation disclosure and required documents listed before purchase
Inspection Incoming checks appropriate to source risk and application criticality Inspection plan, acceptance criteria and nonconformance process
Commercial terms Currency, Incoterm, payment, NCNR status, quotation validity and ship date Written quotation with assumptions and exclusions

Choose the sourcing path before comparing prices

Situation Primary path Required review
Authorized stock exists but cannot cover the full build Reserve confirmed quantity, split delivery or phase the build Confirm partial quantity, pack type and committed ship date in writing
Factory supply exists beyond the production date Evaluate schedule change, bridge quantity or an approved alternate Separate confirmed factory lead time from an unconfirmed estimate
Functionally similar parts are available Quote alternates on separate rows Engineering must review electrical, mechanical, thermal, firmware and qualification differences
A formal discontinuance notice exists Evaluate last-time buy, replacement or redesign Use the official affected MPN, last-order date, final-delivery date and replacement guidance
Only independent-channel supply is visible Use only when policy permits and the risk can be controlled Disclose source status, traceability limits, date/lot code, packaging, inspection and return terms before order
The MPN or lifecycle status is uncertain Stop comparison and resolve identity first Do not substitute a family name, partial MPN or search result for the exact orderable code

What a shortage quote must show

Ask every supplier to return the same fields. A low unit price cannot be compared fairly with another offer if packaging, date code, source path or delivery timing is missing.

  • Quoted manufacturer and complete MPN.
  • New, unused condition and exact packaging format.
  • Available quantity, MOQ, MPQ/SPQ and whether the quantity is physically verified.
  • Unit price, currency, quotation validity and extended value.
  • Estimated ship date, delivery term and destination assumptions.
  • Date/lot code or the point at which it will be confirmed.
  • Manufacturer/authorized-channel traceability, or a clear disclosure when that traceability is unavailable.
  • Inspection evidence, return terms and NCNR status.
  • Alternates shown separately with the differences that require engineering review.

Authorized and independent supply are different risk paths

Authorized-channel supply should be checked first because the manufacturer authorization, traceability and warranty path are defined by the distribution relationship. ECIA's summary of SAE AS6496 describes written disclosure, supplier controls, traceability and inventory segregation requirements for authorized distribution.

When production cannot be supported through authorized supply, an independent-channel offer should not be presented as equivalent evidence. State the sourcing path, what traceability is and is not available, whether the stock was physically verified, and what incoming inspection and return rights apply. The buyer can then decide whether the residual risk fits the product and company policy.

How to review a proposed alternate

A commercial cross-reference is a starting point, not approval. Engineering should review the parameters that matter to the actual design.

  1. Compare pinout, package dimensions, footprint and assembly process.
  2. Compare absolute maximum ratings and the normal operating range.
  3. Review timing, interfaces, firmware, configuration and errata where applicable.
  4. Review thermal behavior, power dissipation and derating.
  5. Confirm environmental, automotive, industrial, medical or other qualification requirements.
  6. Define sample, prototype, validation and change-control requirements before production use.

PCN, PDN and EOL notices should drive the decision

Manufacturer notices provide the dated facts needed for lifecycle decisions. Texas Instruments states that product-change notifications identify affected products, timing, impact and qualification information; its withdrawal notices include last-order and last-delivery dates and a replacement when applicable. An NXP discontinuance notice similarly identifies affected orderable part numbers and the last-time-buy and last-time-ship dates.

For long-life products, obsolescence is not only a purchasing event. IEC 62402:2019 covers policy, planning, risk reduction, resolution and improvement across the item lifecycle. Record the decision and trigger for each critical BOM line so the next shortage does not restart from an email thread.

A practical shortage review sequence

  1. Normalize the BOM line. Resolve manufacturer names, MPN suffixes, package and required quantity.
  2. Check official lifecycle data. Capture the manufacturer page and any PCN, PDN or EOL notice with its date.
  3. Check authorized supply. Record dated stock, lead time, MOQ and packaging from manufacturer-authorized sources.
  4. Build separate options. Keep partial supply, alternates, lifetime buy and independent supply on separate rows.
  5. Assign approvals. Procurement owns commercial comparison; engineering and quality approve technical and source-risk deviations.
  6. Record the final basis. Retain the quote, source disclosure, inspection requirements and approved deviation with the purchase decision.

How Informic handles shortage lines

Informic reviews the requested MPN, quantity, delivery requirement, packaging, lifecycle evidence and permitted sourcing paths as separate fields. Availability, price, lead time, date code and traceability are confirmed for the actual requirement; they are not inferred from an undated catalog page or transferred from a similar package suffix.

Send the shortage lines or upload the BOM. Include the required receipt date, delivery country, packaging, alternate policy and any traceability or date-code requirement. Add PCB/Gerber files separately when the requirement also includes fabrication or assembly.

Frequently asked questions

Should we buy all available stock when a part is short?

Not automatically. Confirm the real production gap, pack constraints, lifecycle status, storage limits, forecast horizon and redesign plan. A larger purchase can exchange a shortage risk for excess, aging or unusable inventory.

Can procurement approve an alternate component?

Procurement can collect and compare alternatives, but technical approval belongs in the engineering and quality change process. The required validation depends on the component, design and regulated or customer-specific requirements.

What if the supplier cannot disclose full traceability?

Treat that as a disclosed limitation, not a blank field. Decide whether the sourcing path is permitted, what inspection can reduce risk, what risk remains and who must approve the exception before placing the order.

How should date-code requirements be handled?

State a real project requirement and the evidence needed to confirm it. Do not assume a broad date-code restriction is risk-free; it can narrow available supply and may exclude properly stored parts that otherwise meet the product and quality plan.

Separate shortage lines from routine BOM coverage

A shortage should not be hidden inside an overall coverage percentage. Use the BOM consolidation vs line-by-line buying guide to keep constrained, alternate-review and unresolved lines on visible risk paths.

Do Not Turn a Shortage Candidate Into an Uncontrolled Substitution

When shortage sourcing produces a possible replacement, use the electronic-component alternate approval checklist to separate commercial availability from engineering suitability.

Raise Inspection Control When a Shortage Changes the Source

If a shortage forces a move away from the normal authorized channel, use the counterfeit-risk incoming-inspection plan to define source evidence, quarantine, inspection depth and release authority before material arrives.
